Intergroup Positions & Responsibilities

Qualifications for the Intergroup Board:
  • Working the Twelve Steps of OA for one (1) year. 
  • Familiarity with the Twelve Traditions of OA. 
  • Familiarity with the Twelve Concepts of OA Service. 
  • Six (6) months of current abstinence 
  • At least (2) two years of service beyond the group level
  • Regular attendee of an active group for a period of one (1) year and to be or have been an IR. 
  • The World Service Business Conference Delegate/alternate (whether or not a member of the Intergroup Board) shall have at least one (1) year of current abstinence and meet qualifications and requirements as outlined and defined in the Overeaters Anonymous, Inc. Bylaws, Subpart B. Article X, Section 3, and as required for election to the Board by Article IV, Section 4 of these bylaws. 
  • The regional representative/alternate (whether or not a member of the Intergroup Board) shall meet qualifications and requirements as outlined and defined in the Region 02 Bylaws, and as required for election to the board by Article IV, Section 4, of these bylaws. 
Terms of Office:
  • The term of office for a board member is 2 years, starting on January 1.
  • Board members may serve no more than 2 consecutive terms in the same position. A member may serve again after a leave of from the position.
  • Once elected, a board member may not serve also as a group representative at the intergroup. 

Chairperson (Chair) Responsibilities:
  1. Preside at Meetings. Shall preside at all regular and special meetings of the IG, except in rare instances when the Vice-Chair shall be specifically notified of the need to stand in for the Chair.
  2. Shall be responsible for establishing an agenda for all IG meetings, and for maintaining the necessary direction and impetus to deal with that agenda within the scheduled meeting time.
  3. Voting Privileges. Normally (traditionally) does not vote but may cast the deciding vote to break a tie or may vote to make a tie in order to continue discussion or postpone an unresolved issue.
  4. Review Treasurer’. Shall review the Treasurer’s report on a monthly basis.
  5. Budget Committee. Shall serve on the Budget committee.
  6. Recruiting. Shall actively attempt to fill any open board positions.
Vice-Chairperson (Vice-Chair) Responsibilities:
  1. Shall serve in the absence of the Chairperson in all capacities listed above as needed.
  2. Shall serve as interim Chair until the election of a new Chairperson if the office of Chairperson is formally 3.vacated at any time other than during the normally scheduled elections.
  3. Shall aid the Chairperson in any way that shall be deemed appropriate by the IG in accord with the Chair.
  4. Shall Chair the Bylaws committee.
  5. Audit Committee. Shall serve on the annual Audit Committee.
Corresponding Secretary (CS) Responsibilities:
  1. Attend monthly Intergroup meetings
  2. Ask previous CS how to contact our website IT person; she will set you up for access to the OA website gmail account
  3. Regularly (once a week at least) check the Gmail account for phone messages and reply to any that are received.
  4. Check for emails to the account and either forward them to the appropriate person or respond to them yourself.  
    a. Announcements of upcoming events on Zoom or within easy travel distance can be sent to our IT person for posting on the Marin website Events page.  
    b. Any emails about changes to or updating of the website are forwarded to the IT person
    c. Emails about bills or finances go to our IG treasurer
    ​d. Solicitations from private individuals regarding their services can be deleted
  5. Ask our IT person to post relevant events on our website; CS keeps the Events page updated, letting the IT person know when something is past-dated and needs to be taken down.  She works for us on Fridays.
  6. Archive any irrelevant or already answered emails/phone messages
  7. Make a monthly report to the IG Board, including what new events have been posted on the website
Secretary Responsibilities:
  1. Meeting Minutes
  2. Take minutes of all Intergroup meetings.
  3. Send a copy of the minutes to all IG members and anyone else present at the meeting after the intergroup meeting. Giving one week after the IG meeting to reply with comments and changes
  4. At the end of the week, send amended minutes to be posted on our website 
  5. Maintain a current list of IG and attendee’s contact information. 
  6. Notifications-Changes in IG Information. Shall notify the World Service Office of any changes in Marin IG particulars (such as: Changes in board membership, contact information, and other similar information). 
Treasurer Responsibilities:
  1. Bank account. Maintains an IG bank account for receipt and disbursal of IG funds. Both the Treasurer and Chair shall have access to this account with signing authority. This account may not be a personal account.
  2. Monthly report. Submits a monthly report to the IG meeting for IG Board approval including: monthly activity, balance sheet, and copy of the current bank statement.
  3. Provides archived financial records upon request. Any request should be funneled through the Chair.
  4. Serves as Chairperson of the Budget Committee.

Public Information and Outreach (PIPO) Committee Chair Responsibilities:
  1. Attend monthly Intergroup meetings
  2. Discuss with the Board financial resources available to support outreach efforts
  3. Generate enthusiasm among local group members for doing outreach
  4. Enlist and support volunteers to plan and implement outreach projects
  5. Provide information about OA to the local community through newspapers, local TV and social media.
  6. Provide booth/literature at health fairs
  7. Encourage members to carry the OA message to Health Care Professionals (See the pamphlet for professionals available for $2.00 at https://bookstore.oa.org/pamphlets/when-should-i-refer-someone-to-overeaters-anonymous-to-members-of-the-helping-professions-770.asp )
  8. Make monthly reports to be included in IG minutes
  9. Attend monthly online meetings to brainstorm, collaborate and share ideas with other public information and outreach chairs and IG reps (see below under ‘you are not alone!’)
AVALABLE RESOURCES:
It is not necessary to re-invent the wheel.  San Francisco regularly puts on outreach events.  See (https://www.oasf.org/events) for examples and inspiration.  Talking with the organizers of such events is a great way to get guidance and information.  There is a World Service Office listing of a multitude of events from all over the country and the world: https://oa.org/event-calendar/.  There is also an OA Public Information Service Manual currently being revised and available for purchase on the oa.org website when published.

OA World Service provides guidelines (https://oa.org/guidelines/) for doing a variety of outreach projects, such as planning a public information or outreach event, planning a convention or retreat, participating in a health fair, setting up a newsletter…..and more.

Region 2 (R2) Representative Responsibilities:
  1. Attend Region 2 Assembly meetings of Overeaters Anonymous and be present during all business sessions.
  2. Serve on an R2 Committee and take an active role in the activities of the Region Assemblies.
  3. Voice the group conscience of this Intergroup represent but know that you are responsible to the Region and OA as a whole.
  4. Serve Overeaters Anonymous and Region 2 for the full term. Newly elected delegates shall begin their term at the first Assembly of the new year.
World Service Conference Delegate (WSCD) Responsibilities:
  1. Attend World Service Business Conferences (WSBC) of Overeaters Anonymous, and shall:
  2. Arrive at WSBC Monday or Tuesday.
  3. Serve on a WSBC committee.
  4. Attend workshops.
  5. Attend all voting sessions on Thursday, Friday and Saturday.
  6. Share a room with another attendee, if possible.
  7. Length of Service: Serve Overeaters Anonymous and the World Service Business Conference until the following Conference. Serve no more than four (4) consecutive years, except for reasons to be decided by the group conscience of the Intergroup.
  8. Submit a written report listing the actions of the Conference to the IG. The report shall be made within one (1) month following attendance at the Conference.
  9. Committees: May attend all standing committee meetings.
  10. The WS Representative may or may not also inform intergroup of WSO announcements on a monthly basis. Though the WSO information is openly online, the rep can bring news and present it at monthly IG meetings.
  11. The WS Rep prepares and presents WSBC Agenda items to the IG for dissemination and recommendations from the membership and/or IG.
  12. The WS Rep helps the intergroup president submit the IG’s preferences to WS prior to the final agenda setting.
  13. The WS Rep can facilitate submission of items for the agenda to WSO for consideration at the WSBC.
  14. The WS Reps will be assigned and committed to a WSBC committee at the conference for an entire year. It is not optional.
  15. WSBC bylaws state: WS Rep shall have a year of abstinence and 2 years of service above the group level, min. Though permission for exception, demand credible by the trustee, may be received by application to WSO.
